Encryption protects files when they travel through email, cloud storage, or messaging apps. Begin by deciding who needs access and for how long. Use a well-reviewed tool that supports strong, modern encryption, and create a passphrase that is long and memorable rather than short and complex. Share the passphrase through a different channel than the file, ideally in person or by phone, and never include it in the same message. Verify the recipient’s identity before sending sensitive material; attackers sometimes impersonate colleagues to collect documents. For cloud collaboration, prefer platforms with end-to-end encryption or granular access controls, and set expiration dates when available. Keep software updated so known vulnerabilities are patched. After sharing, revoke access when the project ends and delete local copies that are no longer needed. Test decryption with a trusted recipient beforehand. A little preparation prevents embarrassing leaks and keeps confidential work under your control.
